| Introduction |
The staff council of Gargi College mooted the proposal to form an ALUMNI ASSOCIATION in the year 1997, in place of the old students association.
With kind cooperation of Dr. Hema V. Raghavan, Principal, Dr. Sheela K.S. a Reader in the College and an alumnus herself prepared a draft constitution for the Alumni Association in 1998. This constitution was presented to the alumni at the annual reunion in the year 2001 and suggestions for amendment invited.
As no suggestions were received till November 2006, it was circulated to the executive committee for any amendments. |

DRAFT CONSTITUTION
Article I
|
The name of the Association shall be the ‘Alumni Association of Gargi College’ or A.A.G.C. in short.
The byword for the association shall be ‘Manaswini’ meaning independent, ‘with a mind of her own’.
The office of the Association shall be located at ‘Gargi College, Siri Fort Road, New Delhi-110049.
The official languages of the association shall be English and Hindi respectively.

Article II
|
Aims and Objectives
|
To contribute towards the improvement of the working standards of the Alma Mater.
To use its good offices to safeguard the dignity and privileges of its members.
To create amongst its members a consciousness of their duties, obligations and responsibilities towards their Alma Mater.
To inculcate a feeling of kinship, understanding, unity and co-operation amongst its members.
To institute scholarships, awards and freeship to the meritorious and deserving students of the college.
To extend a helping hand to the needy students of the institution.
To arrange lectures, seminars, workshops, which may be of practical help to its members.
To disseminate information about the activities and achievements of the institution.
To update information about its members on a regular basis.
To celebrate Alumni Day on such day or days and in such manner as the Executive committee may deem fit.
To work towards the location and creation of possible avenues and opportunities for gainful employment of its members.

Article III
|
Membership
|
Ordinary membership is open to any student who has successfully completed at least one academic year (not having been expelled) as a bonafide student of the college.
Honorary membership may be conferred on outstanding personalities doing yeomen service to the society at large and in the field of education.
Honorary membership may also be extended to the Academic and Non-academic staff of Gargi College who shall automatically become members of the association by virtue of their employment in the institution.

Membership fee
|
Ordinary Membership fee to become a lifetime member shall be Rs100/-(Rupees One Hundred only) taken along with the 3rd year annual fees starting with 1998 batch. For batches prior to 1998, collection may be undertaken at the time of general body meetings.
This fee may be subject to revision periodically.
An ordinary member may become a patron member by donating Rs.1000/- (Rupees One Thousand only), which shall also be subject to revision as and when required, in addition to the Life Membership.

Article IV
|
Entitlement Of A Member
|
To attend and participate in all deliberations and discussions during general body meetings.
To vote in person or by correspondence during the elections for the executive committee of the Association.
To receive Alumni publications / bulletins as and when published.

Article V
|
Office Bearers and Management
|
The functioning of the Association shall be managed by an executive committee comprising members who shall also be the :
President
Vice-President
Secretary
Joint-Secretary
Treasurer
Executive members for every decade of Gargi’s existence who shall be elected at the general body meeting.
|
The duly elected body shall remain in office for a term of two years.
The Principal of Gargi College, not having temporary or ad-hoc charge, shall be the patron of the Association.
One auditor shall be appointed by the executive body for a term of two years, however, the executive body shall be empowered to change/replace the auditor before his/her term expires, reasons to be recorded in writing.
The executive committee may co-opt not more than --- members, if necessary, at any stage.

Role of Office Bearers
|
PRESIDENT
She shall preside over the general body meetings and meetings of the executive committee.
She shall have a general supervisory role/authority over all the affairs of the Association.
|
VICE-PRESIDENT
Shall preside and carry out all the duties of the president in her absence.
|
SECRETARY
Shall be responsible for keeping the minutes of all the meetings of the Association and of the Executive body, conduct all correspondence, keep copies of the same and present a report of the activities of the Associations at the annual meeting.
|
JOINT SECRETARY / S
Shall work in tandem with the secretary.
|
TREASURER
Shall collect or make arrangements for collecting subscriptions, keep detailed accounts at the Associations in a ledger provided for the purpose and the present the audited accounts at the annual general body meeting. She shall also be responsible for the day-to-day expenditure of the Association after obtaining clearance from the rest of the executive committee.

EXECUTIVE MEMBERS
Shall work in conjunction with the office bearers of the Association on all activities arranged by the same.
|
ROLE OF EXECUTIVE MEMBERS
Shall have full authority to act on behalf of the Association in all matters.
The executive committee meetings may be held as often as necessary. The President or Secretary may call special meetings at the written request of at least FOUR members of the committee. The period of notice shall be at least 24hours.
The executive committee shall have power to make such regulations and byelaws as may be necessary and consistent with the constitution. The general body, however, shall have the power to change such byelaws etc., if it is deemed that such a change is in the interest of the Association.
Seven members of the Association shall constitute the QUORUM.

Article VI
|
Amendments
|
A member shall intimate a proposed change in the constitution, in writing to the secretary, at least one month prior to the date fixed for the general body meeting. The secretary shall circulate it to the members. The amendment will be effective only if it secures the support of 2/3rd majority of the members taking part in the voting.
The executive committee may also initiate an amendment to the constitution, not withstanding the above provision, at any time and even obtain a postal vote in its favour. This amendment will be effective if it receives 2/3rd majority of members taking part in the voting.

Article VII
|
General Body Meeting
|
A general body meeting of the Association shall be held at least once a year on such dates as may be decided by the executive committee.
Official year of the association shall be the regular financial year i.e. April 1st to March 31st of the following year.
At other times, the general body meetings shall be held with a due notification of at least 20 days, if necessary, by the secretary on her own initiative or after she has received a notice in writing to this effect, signed by at least seven members indicating the specific purpose for which the meeting is being called. At this special meeting only specific agenda shall be discussed.
